Refrigeration failure

Your walk-in failed: rent tonight, decide by Monday.

When commercial refrigeration fails, the clock is product, not paperwork. Here is the first-72-hours order of operations, the daily cost of each option, and how to fund a replacement quickly at the right size.

The short answer

Updated October 13, 2026 · Merchant Fund Express

Protect the product first: move what you can to working reach-ins, document the loss with photos and temperature logs, and book a refrigerated rental trailer or portable cooler the same day. Then decide between repair and replacement on the technician’s diagnosis, not on what you can pay this weekend. A rental usually costs a fraction of the margin you lose by running without cold storage.

Funding fits when the right fix is a replacement system of $25,000 or more, or a repair combined with product loss and rental costs above that. A single compressor repair under $25,000 is usually better paid from cash or a card.

Cost per day of each option (illustrative)

Take a 4,000 square foot neighborhood grocery with about $140,000 a month in deposits. Its 14-year-old walk-in compressor fails on Friday, October 16, 2026 at 9 pm, the second failure in 18 months. $3,800 of product has to be discarded. Running without the walk-in costs about $1,400 a day in lost perishable margin. A rental reefer trailer costs $210 a day plus $350 delivery and pickup, and cuts the lost margin to about $300 a day.

OptionPriceTime to coldRental and lost margin
Repair compressor$7,8002 to 3 days3 × ($210 + $300) + $350 = $1,880
Replace condensing unit and evaporator$24,000About 10 days to install10 × $510 + $350 = $5,450
Replace entire walk-in$58,0003 to 4 weeks25 × $510 + $350 = $13,100
No rental, wait 10 daysNone yet10 days10 × $1,400 = $14,000

Renting cuts the cost of a ten-day gap from $14,000 to $5,450. And because this is the second compressor failure on an aging system, the technician recommends replacing the condensing unit and evaporator rather than repairing again. Our repair vs replace guide shows how to run that decision over three years.

Sat Oct 17Technician diagnosis and written quote; rental trailer delivered
Mon Oct 19, morningApply with three months of statements and the quote
Mon Oct 19Same-day decision on a complete file
Tue Oct 20Funds land; equipment ordered

Tue Oct 27Trailer returned; first weekly payment

The need is $24,000 for the system, $3,800 of lost product and $2,450 of rental (10 days at $210 plus $350), or $30,250. The owner requests $30,000 and covers the rest from cash. Assume an illustrative factor of 1.30 and a $900 fee: net proceeds $29,100, total repayment $39,000, in 26 weekly payments of $1,500 from Tuesday, October 27, 2026 through Tuesday, April 20, 2027. Against weekly deposits of about $32,300, each payment is roughly 4.6%.

Check the insurance before you size the request

Many commercial policies include equipment breakdown or spoilage coverage. If yours does, the $3,800 of product, and possibly part of the repair, may come back as a claim. File it the same night with photos, temperature logs and the technician’s report. Funding still bridges the wait, but you can request a smaller amount, or ask whether paying early reduces the balance (see early payoff discounts).

Who fits, and when to wait

Revenue-based (second tier): 6+ months, 600+ FICO, $60,000 in verifiable revenue, an $800 minimum daily balance, at most 5 negative days or NSFs.
First tier: 3+ years, 650+ FICO, $25,000 a month in revenue; a line of credit from 1% per month is cheaper for an emergency you can repay within months.
Equipment financing can carry a full walk-in replacement over a longer term. See equipment financing for grocery stores.
Wait or skip funding if the repair is under $25,000 and cash covers it, or if a warranty or service contract applies.

What makes it fast

Three months of business bank statements as PDFs, ready before anything breaks
The technician’s written quote with model numbers and lead time
A one-line note: what failed, when, and what you are replacing
Existing advances or loans with balances and payment schedules

Same-day decisions depend on a complete file, and qualified businesses can be funded in as little as 24 hours. More by industry: grocery store equipment repair, convenience stores, restaurant equipment breakdowns and restaurant repair or replace.

Your next step

Book the rental, get the quote in writing, and price the gap. If the fix plus product and rental is $25,000 or more, apply with your statements and the quote. The application takes about five minutes and starts with a soft credit pull.

Common questions

How fast can I get funding for a broken walk-in cooler?

Complete files get a same-day decision, and qualified businesses can be funded in as little as 24 hours. Having statements and a written quote ready is what makes that possible.

Should I rent a refrigerated trailer while I wait?

In most cases, yes. In the example, a rental cut the cost of a ten-day gap from $14,000 to $5,450.

Repair or replace an old walk-in compressor?

If the system is old and this is not its first failure, get a replacement quote too and compare three years of cost. A cheap repair that fails again in peak season is the most expensive option.

Can I fund a $7,000 refrigeration repair?

Our funding starts at $25,000. A repair that size is usually better paid from cash or a card, unless it is part of a larger need such as replacement plus product loss.

Will insurance cover spoiled product?

Some commercial policies include equipment breakdown or spoilage coverage. Check yours and file the same day with photos and temperature logs.
