Merchant Fund Express explains payments in plain English so owners can make better decisions about equipment and processing.
A good close is boring: the drawer matches the report, the batch matches the deposit and tomorrow starts clean.
End-of-day reconciliation is three small checks: cash in the drawer against cash sales, card totals against the batch and tips against what you owe staff. If all three agree, you are done.
The routine matters more than the tool. Close at the same time, in the same order, with the same person so problems stand out.
Count the drawer and compare to the cash total on the report.
Compare card totals to the batch report.
Run tips by employee and pay out per your policy.
Close the batch at your usual time so deposits are predictable.
| Check | Compare | If it does not match |
|---|---|---|
| Cash | Drawer vs report | Recount, then check voids |
| Cards | Batch vs sales | Look for open tabs |
| Tips | Report vs paid | Find unrecorded adjustments |
| Refunds | List vs receipts | Check who approved |
A bar closes tabs at 1:45, counts the drawer, prints the shift report and compares tips by bartender. A one-time difference of a few dollars is noted; the same difference three nights in a row triggers a conversation.
A device or pricing decision looks bigger on paper than it is in practice. Most owners are well served by choosing for their busiest ten minutes, keeping the first setup simple and adding pieces as volume proves the need.

Make the close a two-person job on busy days, with one person counting and one reading the report, and have the reader sign. The goal is not suspicion but a second pair of eyes. Keep a short log of any difference with the date, the amount and the likely cause, so a pattern of small shortages is visible before it becomes a habit.
