Settlement time is a calendar, not a mystery. Understanding it makes your cash flow predictable.
After a batch closes, the processor settles it and sends the funds to your bank. Weekends, holidays, cutoff times and your bank's own posting speed all move the day money appears.
Knowing your schedule lets you time payroll, orders and rent against deposits.
A useful habit is to keep a one-page calendar that lists your batch time, the day each deposit usually lands and the days that will be late because of a holiday. Owners who write this down stop treating a quiet bank balance as an emergency and start planning payroll and supplier payments around real dates.
When the day closes.
The processor groups and sends funds.
Your bank receives the deposit.
Weekends and holidays add days.
A bakery plans its supplier payments around a Monday deposit that includes weekend sales, so nothing bounces on Friday.
If this is new to you, treat it as a vocabulary lesson, not a decision. The decisions come later, with a statement in front of you and a person who can explain the lines, and the words on this page are enough to follow that conversation.
If a term on your paperwork does not match what is written here, ask for it to be explained in writing. A good provider will happily walk through it, and a free statement review is an easy place to start.
Most owners only need to understand this once, at the moment a number on a statement or a clause in an agreement stops making sense. Having the idea clear in advance turns a stressful call into a routine one.
If you would rather hear it from us, call (305) 384-8391. We will walk through the decision with you, quote the equipment and processing for your business and look at your statement while we are at it.
To plan around deposits, keep a four-week calendar with each day's expected deposit and mark bank holidays. Note the cutoff time that decides whether a late-night sale lands in today's batch or tomorrow's. If your account supports faster funding, ask what it requires and how it is priced, then decide whether the speed is worth it for your cash cycle.
