AI spending for small businesses falls into three buckets: subscriptions to AI-enabled tools, one-time implementation and data work, and occasionally hardware. Only the one-time pieces with measurable payback are good candidates for financing.

Subscriptions are the most common AI cost. Customer service chat, AI writing assistants, meeting transcription, AI features in accounting or CRM platforms and AI-powered scheduling usually come as monthly fees. Because they recur, they belong in the operating budget. Before adding new subscriptions, check whether your current platforms already include AI features you are not using.
Implementation and data work can be fundable. Connecting an AI tool to your customer database, cleaning product or customer data, building templates and workflows, and training staff may require a consultant or agency. These are one-time costs that can be justified when you can measure hours saved or revenue gained.
Hardware is less common but sometimes needed: upgraded computers, tablets for field staff or point-of-sale devices that support AI features. These can be financed with equipment financing or short-term capital if the productivity gain is clear.
Measure before and after. Record time spent on tasks such as answering inquiries, preparing quotes or categorizing transactions before implementation, then track the same tasks after. Converting hours saved into labor cost or added capacity gives you a payback figure to compare with the funding cost.
Manage risks: protect customer data, review AI outputs before they reach customers and start with a pilot. AI tools can make confident mistakes, so a human check on quotes, contracts and financial categorization is important.
